Action Center

A complete guide to Nabu's nightly checks, plan recommendations, staff assignment, approval, Task Center work, and measured results.

What the Action Center does

The Action Center turns clinic information into work your team can complete.

Every night, Nabu reviews 19 areas of the business. It looks for changes that are recent, meaningful, and supported by enough information to act on. A change appears in Needs attention only after Nabu has prepared at least one practical plan that your team can carry out and Nabu can follow through to a result. Nabu may prepare up to three choices and recommends the strongest choice first.

Nothing is assigned or sent while Nabu is reviewing the business. A person with approval access decides whether to move forward.

You can open the Action Center under Intelligence in the left menu. You can also enter a specific finding from Dashboard, Financials, Profitability, Cost Center, Forecasting, or Ask Nabu.

Plans from an exact client group

When you create a plan from an Ask Nabu client group, each prepared client receives one assigned staff task after approval. Clients whose contact permission needs checking stay in the plan as internal verification work. Those tasks carry no client message and do not authorize contact. Do-not-contact instructions remain in force. Staff complete verification work as Done, without reporting that the client was contacted or booked.

A retained group can prepare up to 120 clients per approval, with any remainder shown. Current bookings, completed returns and existing work may remove clients; the review shows those exclusions. These plans do not keep a comparison group aside, so later changes are not proof that the plan caused an improvement.

A selected plan with prepared work has Continue to assignment. If an earlier selection found no eligible work, Check eligibility again retries preparation without rerunning the analysis.

What Nabu checks every night

The What Nabu checks button in the Action Center shows the same checklist used by the nightly review. It is the full list for Nabu, not a list that changes based on the location you selected.

Revenue and service performance

  • Revenue change: compares clinic revenue with the previous similar period.
  • Revenue by service and provider: looks for the services and providers behind a large revenue decline.
  • Average ticket and revenue per service: the business's average ticket, or a service's revenue per delivered service, beside a revenue change, which helps separate a change in price from a change in volume.
  • Dependence on one service: checks whether the clinic now relies much more heavily on one service.
  • Money earned from each service: compares what each service earned after its direct delivery costs, then checks visits, revenue per treatment, and cost to show what moved.
  • Service discounting: looks for services billed well below their configured list price, without guessing whether a discount, a package or membership benefit, or a comp caused it. The list price is today's configuration, so a price changed after the period moves the figure.

Appointments and client follow-up

  • Appointment volume: compares completed appointments by service and provider with the previous similar period.
  • Cancellation rate: compares the share of scheduled appointments that were canceled.
  • No-show rate: compares the share of scheduled appointments that became no-shows.
  • Canceled appointments needing recovery: looks for canceled visits where the client has not booked or completed a later visit.
  • Recent no-shows needing follow-up: looks for clients who missed a recent appointment and still have no later booking or completed visit.
  • Consultation conversion: looks for clients who completed a consultation but have not booked a later treatment or future visit.

Retention and return patterns

  • Client retention and rebooking: looks for past clients who are due to return and do not have another visit booked.
  • Visit frequency: learns how often clients usually return for each service from the clinic's own visit history.
  • Time since the last visit: checks how long it has been since each client's last completed visit and leaves out clients the clinic should not contact.

Memberships, people, and resources

  • Membership Exits: checks each plan's recorded exits (memberships cancelled, expired or ended, a switch to another plan included) against the plan's memberships in force at the start of the period. It runs only when every membership's status and the date it changed are recorded, and it does not say why members left. The membership benefit-use check is still paused, because Nabu does not yet value the benefits a membership issues.
  • Provider schedules: compares booked appointment hours with the working hours entered for each provider.
  • Rooms and devices: estimates room and device use from the services assigned to them.

A completed check does not always create a finding. If the change is small, the records are not current enough, or the available information cannot support a useful next step, Nabu leaves it off the list and checks again on a later nightly review. Nabu will not turn “review the records” or “figure out what happened” into a plan and ask your team to repeat the analysis.

How findings are organized

The Action Center has three tabs:

  • Needs attention holds current findings that still need a decision.
  • In progress holds approved plans while the team completes the work or Nabu waits for the result window to finish.
  • Results holds completed work and findings that were closed with an honest explanation.

Nabu shows every finding that has a prepared, useful next step. The most meaningful and current items stay at the top. A condition Nabu detected but cannot act on yet stays off the list and is checked again later.

Each card tells you:

  • what Nabu noticed;
  • why it matters;
  • the supported amount or client count;
  • the clinic and period involved;
  • the date the clinic records reach.

Use the clinic and type filters when you manage more than one location or several kinds of finding. Snoozed and dismissed keeps items you put aside, so clearing the main list does not erase the history.

How to review and activate a plan

1. Open the finding

Select the finding to see the evidence and the prepared plan choices. Use Ask Nabu if you want a plain-language explanation before deciding.

2. Compare the plan choices

Nabu may show one, two, or three plans. The first plan is the recommendation. The order comes from the work Nabu can actually prepare and measure, not from a language model's opinion.

Each choice explains:

  • what the team will do;
  • which clients or business area it covers;
  • why it fits the finding;
  • what work will be created;
  • how Nabu can measure the result.

If only one plan is supported, Nabu shows one recommendation instead of pretending there are several good choices.

3. Select the plan

Selecting a plan creates the proposed action. It does not create tasks and it does not contact anyone.

You can select a plan, review its details, choose an employee, and save the draft without using the location's monthly activation. The activation is used only when an approver approves the plan and Nabu creates the assigned work in Task Center. If the location has already used its complimentary activation that month, Nabu shows the Intelligence upgrade option at that final step.

4. Choose the accountable employee

Nabu ranks up to three active employees from that location. It considers:

  • whether the person's role fits the work;
  • working and unavailable time recorded in Nabu;
  • booked appointments;
  • open tasks and urgent work;
  • how much new work the plan adds;
  • recent assignments, so work is not always sent to the same person.

Client follow-up usually favors front desk or client care roles. Marketing work favors marketing staff. Pricing, package, and operating work usually favors an office or clinic manager. If the preferred role is not on staff, Nabu explains the next best fit instead of inventing an employee.

You make the final choice. If working hours are missing, Nabu says it cannot confirm available time. You can still choose that employee, or record working and unavailable time before approval.

When you continue, Nabu may take a moment to prepare and check the final review, including any client wording. The screen shows that work in progress. No Task Center tasks are created at this stage.

5. Review the task distribution

One employee remains accountable for the plan. For client outreach, Nabu can also suggest a split across employees who have recorded capacity.

You can:

  • keep every client task with the plan owner;
  • accept Nabu's suggested split;
  • choose an employee for each client task.

Nabu checks the selected employees and their recorded capacity again at approval. If a new absence, booking, or workload change means the reviewed split no longer fits, approval pauses and asks you to review the assignment again.

6. Review the client list and wording

For supported outreach, Nabu builds the client list from clinic records. It removes people who booked or returned later, people marked do not contact, and people without permission for the prepared contact method.

These outreach plans can currently build a checked client list from clinic records:

  • rebook overdue clients;
  • follow up with unconverted consultations;
  • follow up with recent no-shows;
  • recover canceled appointments.

Each task includes a prepared text, email, or call guide based only on supported clinic information. If you assign a client to a different employee, Nabu updates the wording for that sender. You can edit every message before approval.

Nabu does not send the message. The employee reviews and uses it from the Task Center.

Plans that do not include client follow-up say so directly. They do not call, text, or email clients.

7. Approve the action

The last step shows exactly what approval will create. Check the plan owner, task team, client count, prepared wording, due dates, and measurement notes.

Select Approve action to create the Task Center work. The approval is recorded under your name. If the client list, contact permission, employee status, or recorded capacity changed since review, Nabu refuses the approval and asks for a fresh review. It does not silently change the work.

How to put a finding aside

Use Not now when the finding is valid but the timing is wrong. You can snooze it until tomorrow, next week, another date, or the next cycle.

Use Reject when you have reviewed a prepared action and do not want it:

  • Already handled closes the finding.
  • Not useful closes it and keeps that subject quiet for a longer period.
  • Wrong timing puts it aside for two weeks.
  • Other records the reason you enter.

Snoozed and dismissed findings remain available from the Action Center. Nothing is deleted from the history.

What happens in the Task Center

Approval creates one task for each piece of work. A client outreach plan can create one task per client. A pricing, cost, content, package, or operating plan may create one task to carry out the approved change.

Each task keeps the reason, owner, due date, prepared wording or instructions, and link back to the Action Center. Employees can start the work, record what happened, and complete it from Tasks. Starting a task keeps its detail open so the employee can use the instructions or prepared wording right away.

Use Notes to record an update, question, or handoff for the team. Every note keeps its author and time in the task history. Notes are internal: adding one never sends a text, email, or other message to a client.

A task created by an approved plan keeps the due date the plan set. Nobody can move it, so the plan is measured against the schedule that was approved.

Nabu Today shows your own work, sorted into overdue, due today, in progress, and work shared with your team. Work due on a later day and work you finished this week are folded underneath. All tasks shows everyone's work, with one row per Action Plan, checklist, or recurring schedule, plus one row for tasks the team added by hand. Open a row to see its tasks.

Nabu Today finds your work through the employee record your login belongs to. If Nabu cannot tell which employee you are, Today says so. An owner, admin, or manager can choose their own employee record right there. Anyone else should ask an owner, admin, or manager to put their login email on their employee record in People & Payroll.

Your team can also add a one-time task, a recurring task, or a recurring checklist in Tasks. The person who added a one-time task, or an owner, admin, or manager, can change its due date later. Being the assignee alone is not enough. Each change is kept in the task history. A recurring task is due on its scheduled day.

A checklist groups several tasks on one schedule. Each item can go to one person, to several people, to a named team such as Front desk, or to anyone at the clinic. A shared item appears in Nabu Today for everyone it is shared with. The first person to start it takes it, and it then leaves everyone else's list. Owners, admins, and managers create teams under Checklists & schedules, and a change to a team reaches that day's shared work right away. Managers also see shared work that nobody took once its day has passed.

For a daily schedule, select the days it should run; weekly schedules use a chosen weekday, and monthly schedules use a chosen calendar day. On short months, a schedule set for the 29th, 30th, or 31st runs on the last day. You can pause, resume, or edit a schedule under Checklists & schedules. Owners, admins, and managers can rename a checklist, change its days, and add, change, or remove items; anyone can edit a recurring task that is theirs alone. A new item joins today's list if the checklist already ran today. A removed item comes off the schedule, and if nobody started today's copy it is dismissed; finished work stays in its history. A schedule pauses if an item has nobody left who can do it, such as a person who is no longer active at the clinic or a team with no active members. These team schedules do not create Action Center plans or spend an Action Plan activation.

Creating a task is not treated as contacting a client or implementing a plan. For outreach, measurement starts only after a linked task is completed as Contacted or Booked. For other business changes, the employee must confirm that the approved change was actually put in place.

How results are measured

Nabu usually compares the 28 days after the work started with the 28 days before it. Canceled-appointment recovery uses a 14-day result window because the follow-up is more time-sensitive.

While an outreach result window is still open, the plan detail can show an early signal from recorded client returns and purchases after the contact date. Marking a task Contacted or choosing a plan does not create a revenue result. Nabu waits for a completed, covered day before displaying financial observations. When the approved action identifies one service and the records cover both periods, Nabu also compares that service's revenue over the elapsed days with the same number of days before contact. These are observations as of the displayed date, not a final verdict or proof that the outreach caused the service's movement. The In progress card continues to show recorded task outcomes; the final result appears after the full window is covered.

For a large enough client outreach list, Nabu leaves a comparison group untouched. Nabu credits the improvement to the plan only when there are at least 20 measured clients, at least four clients in each group, and both the return rate and recorded operating purchases per client support it. This helps separate the effect of the plan from a good month that affected everyone. Purchases are observed for the assigned clients; they are not individually linked to a contact task.

Other business plans, such as a price, cost, package, or marketing change, do not have a fair comparison group today. Nabu compares the measure and desired direction saved with the approved plan, shows its before-and-after values when the records support them, and may show revenue or contribution profit as context. A change after implementation does not prove that the plan caused it.

For a service discount-control plan, the result uses discounts and gross value recorded on direct service sale lines. This rate can differ from the original finding's rate, which uses configured service prices. If sale-line discounts cannot be reconciled, Nabu leaves the result unavailable rather than substituting a different measure.

Results use four plain outcomes:

  • Improved means the supported comparison moved in the right direction.
  • Worsened means it moved in the wrong direction.
  • Unchanged means there was no meaningful difference.
  • Cannot attribute means the records, group size, comparison, or completed work cannot support a fair conclusion.

Cannot attribute is not an error. It is how Nabu avoids claiming a win that the clinic records do not prove.

Access and monthly use

Anyone with permission to view a location's financial information can see its Action Center findings. Client lists, plan choices, assignment, approval, tasks, and results also require the location's Action Center permission.

Every location receives one complimentary Action Center plan activation per calendar month. The meter resets using that location's calendar. You can always see every supported issue, review every recommended plan, inspect its client list and message, and choose an employee. The limit appears only when an approver activates another plan and sends its assigned work to Task Center. Once a plan is activated, the team can finish its tasks and see the result even after the month changes.

Nabu Intelligence unlocks unlimited Action Center plan activations for the location and unlimited analytical Ask Nabu questions. Buying the add-on does not change anyone's role or location access.

If something does not look right

  • No findings are showing: check the selected location and filters. Nabu may also have completed the nightly review without finding a current, meaningful issue.
  • The finding is not in Needs attention: look in In progress, Results, or Snoozed and dismissed.
  • A plan cannot be activated: the location may have used its complimentary monthly activation, a client or employee record may have changed, or the plan may have been disabled.
  • No employee is clearly recommended: confirm active employees, roles, and working hours under People & Payroll.
  • Approval asks for another review: a client booking, contact permission, employee, schedule, or workload changed after the page was opened.
  • A result is waiting: the team may not have recorded contact or confirmed implementation, or the clinic records may not reach the end of the measurement period yet.

If the page still does not match the clinic records, use Getting help and include the location, finding title, and date shown on the card. Do not include client contact information.
