Creating Your Account

How to sign up with email or Google, name your business, pick the right work email to use as your login, and get into Nabu for the first time.

Step 1: Sign up

Go to the Nabu sign-up page and create an account with your email address. You can also sign up with Google if that's easier. Just click "Continue with Google."

Which email should you use? Use your main work email, the one you check every day. This becomes your login and also gets used in a few places inside the platform (like identifying you as a provider if you're on the Solo plan).

Step 2: Name your business

After signing up, Nabu asks you to name your business. Your business is your company inside Nabu. Your locations, your cost setup, your billing, and everyone you invite all live under it.

You enter one thing here: the business name. Use the name your team says out loud, not the legal entity. "Glow Medspa" rather than "Glow Aesthetics Holdings LLC."

You only create one business. If you own multiple clinics, they all live under it as separate locations.

Naming it here creates your account container, which is what the rest of onboarding attaches to. The name itself is not locked in: the wizard lets you go back and change it, and the new name is written along with everything else when you finish setup. You can also rename it any time afterward from Settings.

Step 3: The onboarding wizard

The wizard is three steps, or four if you connect Zenoti directly. The left rail shows where you are, and nothing is saved until the final step, so you can move backward and change any answer, including the business name.

If you refresh or close the tab by accident, your answers come back. Credentials are the one exception: an API key or an S3 secret is never kept in the browser, so a refresh on a connection step asks for it again.

What system are you on?

Nabu asks which software you use today. The list covers the systems medspas actually use:

Zenoti, Boulevard, Mangomint, Aesthetic Record, PatientNow, Nextech, ModMed, Symplast, AestheticsPro, Moxie, RepeatMD, Vagaro, Mindbody, Booker, Meevo, Phorest, Pabau, Fresha, and Square Appointments.

There are also two answers for when none of those fit:

  • No booking software: you run on spreadsheets or paper
  • Other platform: anything not listed. Type the name and Nabu records it

Nothing is pre-selected. Pick the one you actually run.

How should Nabu get your data?

This is a separate question from which software you use, and every platform gets asked it. The methods available depend on the platform:

CSV import and manual setup work on every platform, including "No booking software." Nabu's import templates are generated from its own schema, not from any vendor's export format, so they're identical whatever your data came out of.

You can switch methods later from Settings. You are not locked into what you pick here.

Connect Zenoti (only if you chose a direct method)

If you picked Direct connection or Export bucket, a connection step appears before the location step. Both verify your credentials on the spot and read your center list, and neither saves anything yet. See Connecting Zenoti for what to enter.

Confirm your first location

A location in Nabu is one physical clinic or business address. One clinic, one location. Three clinics in three cities, three locations.

If you connected Zenoti, this step arrives pre-filled from your Zenoti center. Otherwise you enter it yourself:

  • Location name: the name of this specific clinic (for example "Glow Medspa Seattle")
  • Contact and address: phone, email, website, and street address
  • Operating profile (optional): square feet, treatment rooms, non-treatment rooms, working days per month, and open hours per day

The operating profile is what turns rent, utilities, and overhead into a cost per treatment hour. Leave it blank and Nabu will show revenue and direct costs right away, then ask again in Setup before it reports margin.

This is the step that saves everything you picked.

What happens after onboarding?

Once the wizard is complete, you land on the Setup section of Nabu. This is where you fill in all the information Nabu needs to calculate your real numbers: provider pay, service pricing, fixed costs, and more.

Frequently asked questions

Can I change my business name later? Yes. Go to Settings → Business Profile to update it. The change applies to your account record too, not just the display name.

I picked the wrong connection method. Am I stuck? No. You can switch from Settings. Every combination of CSV import, manual setup, direct connection, and export bucket can be changed after the fact.

My software isn't in the list. Choose Other platform and type the name. Nabu works exactly the same. You'll use CSV import or manual setup, which are the same on every platform anyway.

What if I made a mistake in the wizard? Nothing is saved until the final step, so you can go back and change any answer before you finish. After onboarding, update information directly inside the Setup sections or from Settings → Integrations.

I'm on the Solo plan. What's different? The Solo Founder plan is designed for a single provider running their own practice. It supports one location and one provider. When you complete onboarding, Nabu automatically creates a provider profile using your signup name and email. You can update these details in Setup → People & Payroll.

Can other people on my team have their own logins? Yes. You can invite team members from Settings → Users. Different roles have different levels of access. A provider can see their own numbers but not the full financial picture.

How do I reach support? Click Help in the sidebar to submit a support ticket. Our team gets notified and will respond by email. Free plan users get email support; paid plan users get same-day support.
