Connecting Your Data
The four ways to get appointment and sales history into Nabu: direct API, S3 export bucket, CSV upload, or manual entry, and how to pick one.
Why does Nabu need your data?
Nabu can't calculate your profit margins, provider performance, or service profitability without actual sales and appointment history. The more data you bring in, the more accurate and useful your financial reports become.
There are four ways to get your data in. Onboarding asks which one you want, and every platform is asked.

CSV import and manual setup are not fallbacks for unsupported software. Nabu's import templates are generated from its own schema rather than any vendor's export format, so they work identically on Zenoti, Boulevard, Mangomint, Nextech, spreadsheets, or anything else.
You can change methods later from Settings → Integrations. Nothing you pick during onboarding locks you in.
Option A: Zenoti direct connection (API)
If you use Zenoti and have API credentials, this is the smoothest path. Once connected, Nabu can pull your setup catalog, clients, appointments, invoices, and sales evidence directly, no manual exporting needed for supported sections.
How to connect
- During onboarding, choose Zenoti as your platform, then choose Direct connection
- Enter your Zenoti account name, API key, and base URL
- Nabu verifies the key on the spot and fetches your Zenoti centers, select the one that matches this location
- Nabu starts syncing your data in the background once you finish the location step
Where to find your Zenoti API key
- Log in to your Zenoti admin portal
- Go to Admin → Organization → API keys (the exact path may vary by Zenoti version)
- Copy your API key
If you don't see this option, contact Zenoti support and ask them to enable API access for your account.
What gets synced?
When Nabu connects to Zenoti, it pulls:
- Clients, names, emails, phone numbers
- Appointments, dates, services, providers, rooms when available
- Invoices and sales evidence, amounts, payment methods, discounts, taxes, tips, and redemption evidence
- Services, names, categories, duration
- Providers, names, roles
- Membership and package plans, plan definitions and benefits when available
- Gift card, prepaid, membership, and package activity, imported from Sales & Visit History when transaction evidence exists
Nabu does not scan every client during setup to look for hidden gift card, prepaid-card, membership, or package balances. Those records are enriched when Sales & Visit History shows real activity, or when you add known client-attached records manually.
Option B: Zenoti export bucket (S3)
Zenoti can write your data exports into an S3 bucket. Nabu reads that bucket directly, which gives you the same automatic result as the API without needing API access.
How to connect
Most export buckets only accept connections from approved IP addresses, so this usually happens in two sittings rather than one.
- During onboarding, choose Zenoti as your platform, then choose Export bucket
- Nabu shows the IP addresses it connects from, with a copy button. Email that list to Zenoti support and ask them to allow read access to your export bucket from those addresses
- Choose I've requested access. Continue setup. You finish onboarding, add your first location, and check out normally. Nothing is blocked while you wait on Zenoti
- When Zenoti confirms, open Integrations → Zenoti and enter the three things they gave you: bucket name, access key ID, and secret access key
If you had already arranged access before signing up, or your bucket has no IP restriction, choose Already whitelisted? Connect now in step 2 and enter the credentials there instead.
You are never asked for the AWS region or the folder path. Nabu works out both: the region from the bucket, and your export folder from your Zenoti organization name.

Option C: CSV Import
CSV import works on every platform, not just the ones without a direct connection. It's the right choice whenever you'd rather export files on your own schedule than wire up a live connection.
The templates are the same regardless of your software, Nabu generates them from its own schema, not from any vendor's export format. So the work is the same whether you're on Zenoti, Boulevard, Mindbody, Vagaro, Mangomint, Nextech, ModMed, Symplast, AestheticsPro, Square Appointments, or a plain spreadsheet: export what your software gives you, map it into Nabu's columns, upload.
What is a CSV file?
A CSV file is a spreadsheet saved in a simple text format. Every piece of software used by medspas can export data to CSV. You've probably seen them before, they open in Excel, Google Sheets, or Numbers.
The CSV templates
Nabu uses specific column formats for its CSV imports. Instead of guessing, Nabu provides downloadable templates, pre-formatted spreadsheets with the exact columns it expects.
You can find these templates inside Setup → [any setup section] → Download Template.
The key templates are:

The recommended import order
If you're starting from scratch with CSV imports, follow this order:
- People & Payroll, import your providers first, because sales records reference them by email
- Services, import your service menu, because sales records reference them by name
- Payment & Financing Fees, enter manual card, ACH, cash, and financing fee rules before importing payments
- Clients, import your client list
- Sales & Visit History, this is the big one; it references clients, providers, services, payment methods, memberships, packages, credits, and gift cards
How to export from common platforms
From Zenoti (CSV path): Go to Reports → Appointment/Invoice reports, set your date range, and export to CSV. Column names may differ from Nabu's templates, so you'll need to rename columns to match.
From Boulevard: Go to Reports → Appointments or Revenue. Export the date range you want. Boulevard uses slightly different column names, rename them to match the Nabu template.
From Mindbody: Go to Reports → Business Reports → Appointment and Sales reports. Export to CSV.
From a spreadsheet: If your records are already in a spreadsheet (Google Sheets or Excel), you can format them to match the Nabu template and export as CSV.
Tip: Don't have clean historical data? That's okay. You can import what you have, even if it only covers the last few months. Nabu works with whatever history you provide and gets more accurate over time.
Uploading your CSV
- In Nabu, go to Setup → [the relevant section]
- Click Upload CSV or Import
- Select your CSV file
- Nabu validates the file and shows you a preview with any warnings
- Review the warnings (e.g., "Provider email not found" means a provider in the CSV isn't in your People & Payroll yet)
- Click Import to bring the data in
What if I get validation errors?
Validation errors or warnings during import just mean Nabu couldn't match something in your file to something in its database. Common ones:

Most warnings are non-blocking, Nabu imports what it can and skips what it can't match.
Option D: Manual setup
If you have no exports to work with yet, or you run a single location and would rather type the numbers in, choose Manual setup. You enter revenue, costs, services, and payroll directly in the Setup sections. Nothing about the rest of Nabu changes; the reports work the same way.
This is also the honest first step for anyone on "No booking software."
Can I use more than one?
Yes. If you connect Zenoti directly but also have data from before your Zenoti days, you can import historical CSV data to fill in the gaps. Nabu merges them together.
You can also change your primary method at any time from Settings → Integrations. Every combination is switchable in both directions.
What happens after data is in?
Nabu imports in the order the numbers depend on each other, and you can watch it on the Data Import page. Your locations, rooms, team, products and services come first, then your recent sales, which is the point where your dashboard becomes useful. Older history keeps loading in the background after that, so comparisons against last year fill in while you carry on.
Your dashboards will show numbers as soon as sales land, but they are not yet your real margins. Your booking software knows what you sold; it does not know what it cost you to sell it. Pay rates, product costs, and fixed expenses like rent and software only exist in Nabu, and until they are filled in, revenue is just revenue.
