Locations & Settings
How to manage your workspace, add locations, and update business settings in Nabu.
Workspace vs. location — what's the difference?
These terms come up a lot in Nabu, and they refer to two different levels of your account:
- Workspace — your Nabu account as a whole. This is your organization. It holds your billing, subscription plan, and the list of users who have access.
- Location — a physical business address. A single clinic. One workspace can have multiple locations — for example, if you own two medspa locations across town from each other.
Each location has its own data, its own setup, and its own set of financial reports. Revenue, costs, and appointments are tracked per location — they don't mix unless you're looking at a workspace-level summary.
Switching between locations
If your workspace has more than one location, use the location selector in the top navigation bar to switch between them. The selector shows your current active location. Click it to see your other locations and switch.
Everything you see in the app — financial dashboards, setup sections, reports — reflects the currently selected location. If a number looks wrong, check that you're viewing the right location before troubleshooting further.
Settings areas
| Area | What you can do there |
|---|---|
| Workspace settings | Update your business name, manage your subscription plan, and handle billing |
| Location settings | Update the clinic name, address, time zone, and operating hours (operating hours are used in capacity utilization calculations) |
| Integrations | Connect or reconnect your booking software, view sync status, trigger a manual sync |
| Users | Invite team members, view current users, change roles, remove access |
Access all of these from the Settings menu in the left sidebar.
Location slots — how they work
Every location you activate in Nabu uses one location slot from your plan. Your plan's slot count determines how many locations you can run at the same time.
- Solo Founder and Founder Lifetime plans include 1 location slot. To run multiple locations, upgrade to Clinic Financials.
- Clinic Financials plans can add location slots. Each additional slot is billed at the per-location add-on rate on your subscription cycle (monthly or annual).
Your current slot usage is visible in Settings → Business Profile under the Platform & Locations card, and in the Setup page under Location Workspaces.
Adding a location
There are two ways a new location enters Nabu:
1. Activate a discovered location (Zenoti API)
If your workspace is connected to Zenoti via API, Nabu automatically discovers your Zenoti centers. These appear in Setup → Location Workspaces → Discovered tab.
To activate one:
- Go to Setup and open the Location Workspaces card
- Click the Discovered tab to see centers found in Zenoti
- Click Add location on the center you want to activate
- If you have an available slot, click Activate location
- If you need an additional slot, click Add location slot and activate — this immediately adds a slot to your existing subscription and activates the location
Once activated, the center moves to your Active tab and setup progress starts at 0%. Your Zenoti data syncs once your API connection is active for that location.
Duplicate prevention: If a center is already linked to an active Nabu location, it cannot be activated again. The modal will show an error if this is attempted.
2. Create a location manually
If you are not on a Zenoti API connection, contact your Nabu account manager to create a new location manually. Manual location creation follows the same slot rules — you need an available slot, or need to purchase one, before a new location can be activated.
Hiding and restoring discovered locations
If a center appears in the Discovered tab but you do not want to activate it (for example, a test center in Zenoti or a location you do not manage), you can hide it:
- Click Hide on the discovered center card
- The center moves to the Hidden tab and no longer appears in the Discovered list
To restore a hidden center, go to the Hidden tab and click Restore. The center returns to the Discovered tab and can be activated.
Hiding a center does not affect it in Zenoti — it only removes it from view in Nabu.
Updating operating hours
Operating hours for each location are set in Settings → Location settings. Nabu uses these hours to calculate capacity utilization on the Forecasting dashboard — specifically, how many provider-hours are available per week vs. how many are being used.
If your hours change (for example, you start opening on Sundays), update them here so your capacity numbers stay accurate.
Frequently asked questions
Can I combine data from multiple locations into one report? Workspace-level reporting that aggregates across locations is available on higher-tier plans. On standard plans, reports are per-location only.
What happens if I change a location's time zone? Historical appointment times won't be retroactively adjusted. The time zone change affects how new appointment timestamps are displayed. If your time zone was set incorrectly from the start, contact support from the Help section in your dashboard.
Can I remove a location from my plan after activating it? Location deactivation is handled by the Nabu support team to ensure existing financial data is preserved. Contact support from the Help section in your dashboard to discuss removing a location from your plan.
What happens to my data if a location runs out of sync? Your existing reports and historical data remain intact. Only new data from Zenoti stops syncing. Reconnect your integration from Settings → Integrations or contact support.
