The Five Workflows

What triggers each kind of Growth task, and the default timing, owner, and channel for each one.

How to read this page

Growth looks for five specific situations. Each one has a default timing, a default owner role, a default channel, and a default execution mode, all of which can be adjusted in Growth Settings if your location needs something different. What's listed here is what a brand-new location starts with.

Execution mode tells you how much of the task Nabu does versus a person:

  • Manual task: a staff member handles the whole thing.
  • Review required: Nabu drafts something (usually an email), and a person checks it before it's sent.
  • Automated: Nabu sends it without a review step. This only applies to email, and only once a real mailbox is connected.

Post-visit follow-up

Triggers when: a client completes an appointment.

Default: 24 hours after the visit, assigned to Front Desk, over SMS, as a manual task.

The idea is simple: check in shortly after a visit while it's still fresh, see how the client is doing, and get the next appointment on the books before they have a reason to put it off.

Quote or consultation follow-up

Triggers when: a client gets a price quote or attends a consultation and doesn't book afterward.

Default: 5 days later, assigned to Front Desk, over email, with review required. Emails that mention pricing always require review before sending, even if you turn off review for everything else in this workflow.

Consultations and quotes are your highest-intent, highest-value opportunities, which is why review is on by default here: a human should read anything referencing a specific dollar amount before it reaches a client's inbox.

No future booking

Triggers when: a client's last visit is far enough in the past that they're due for another one, and they don't have anything scheduled.

Default: assigned to Front Desk, over SMS, as a manual task.

This is the one workflow without a fixed delay in Growth Settings. Instead, the timing comes from how soon a client is typically due to return for whatever service they last had, which is configured on the service itself (see your Services setup), not here. If a service doesn't have a return interval configured, Nabu falls back to that specific client's own visit history, and if there's no history to go on either, to a general internal default. Either way, the task only shows up once that expected return window has actually passed.

Cancelled and not rebooked

Triggers when: a client cancels an appointment and doesn't book a new one.

Default: 2 hours after the cancellation, assigned to Front Desk, by phone, as a manual task.

The short delay and phone channel are intentional. A cancellation is a moment where a client might be reconsidering altogether, and a quick, personal call to find a new time works better than a text that can sit unread.

Open-slot outreach

Triggers when: an appointment opens up (from a cancellation or otherwise) and Nabu finds clients who are a good match for it, based on service history and timing.

Default: looks ahead 3 days, assigned to Front Desk, over SMS, with review required.

Unlike the other four workflows, open-slot tasks aren't created automatically. They start from the Open Slots section of the Growth workspace, where you pick a slot, see the ranked list of matching clients, and choose who to reach out to. From there, each client you select becomes its own task.
