Memberships & Packages
How to set up membership plans and prepaid packages so Nabu can correctly track recurring revenue and bundle pricing in your financial reports.
Memberships vs. packages — what's the difference?
Both memberships and packages involve clients paying upfront for future services, but they work differently:
| Membership | Package | |
|---|---|---|
| Structure | Monthly subscription | One-time prepaid bundle |
| Payment | Recurring monthly charge | Lump sum at purchase |
| Benefits | Monthly credits, discounts, or included services | Prepaid sessions of specific services |
| Example | $99/month for one facial per month + 10% off all retail | $500 for 5 HydraFacials (valid for 12 months) |
If your clinic sells both, you'll set up both sections.
Memberships
What Nabu needs to know about memberships
For Nabu to correctly account for membership revenue and cost:
- What the plan costs — monthly price and any setup/enrollment fee
- What benefits it includes — what does the member actually receive each month?
- What those benefits cost to deliver — so Nabu can calculate the true margin of the membership
Setting up a membership plan
When you create a membership plan, you fill in:
| Field | What to enter |
|---|---|
| Plan name | The name of the membership tier (e.g., "Glow Monthly", "VIP Membership") |
| Monthly price | What the client pays each month |
| Setup fee | One-time enrollment fee, if any. Enter 0 if none. |
| Status | Whether you currently sell this plan |
Adding benefits
Each membership plan can have multiple benefits. A benefit is anything the member receives as part of the plan. Types of benefits:
- Included services — one or more services performed at no additional charge (e.g., "1 HydraFacial per month")
- Service discount — a percentage off specific services or all services
- Store credit — a dollar amount of credit added to their account each month
For each benefit, you tell Nabu:
- What type it is
- Which service(s) it applies to
- The value (quantity, percentage, or dollar amount)
- The estimated fulfillment cost — what it costs you to deliver this benefit
Why does fulfillment cost matter? If a membership includes one facial per month valued at $200, but it only costs you $80 to deliver that facial (labor + supplies + overhead), the "cost" of the membership benefit is $80, not $200. Nabu uses the fulfillment cost to calculate the real margin on your memberships.
Membership in sales records
When a client pays their monthly membership fee, that shows up as a MEMBERSHIP_SALE in your sales data. When they use a membership credit to pay for a service, that shows up as a MEMBERSHIP_REDEMPTION.
Nabu tracks both sides so you can see:
- How much membership revenue you collect
- How much it costs to fulfill membership benefits
- Whether your memberships are profitable
Packages
What Nabu needs to know about packages
Packages are simpler than memberships. For each package plan, you define:
- What the package is called — must match your booking software
- What's included — which service(s) and how many sessions
- The package price — what the client pays upfront
- The per-session value — how the prepaid amount gets distributed across individual redemptions
Setting up a package
| Field | What to enter |
|---|---|
| Package name | Exact name as it appears in your booking software |
| Service | Which service this package is for |
| Sessions included | How many sessions the client gets |
| Package price | Total upfront price |
| Status | Active or Inactive |
Per-session value
When a client uses a session from their package (PACKAGE_REDEMPTION), Nabu attributes a portion of the original package price to that redemption. By default, it divides the package price evenly across sessions.
Example: A $500 package for 5 HydraFacials = $100 per session redemption value.
Package in sales records
Similar to memberships:
PACKAGE_SALE— the initial purchase of the packagePACKAGE_REDEMPTION— when the client uses a session
What if a client already has a membership or package in my booking software?
If your booking software has existing membership subscribers or clients with package balances, those show up in the Sales & Visit History import when you import the purchase and redemption records.
When you add a client manually in the sales entry modal and they have an active membership or package, Nabu shows their available credits in the Benefit / Credit Source dropdown — but only if their membership or package record has been imported or created first.
Confirming these sections
Confirm Memberships and Packages separately. If your clinic doesn't sell memberships at all, you can mark it as Not Applicable when confirming — this removes it from the Start Guide without requiring you to enter any data.
